Events and Alumni Relations Coordinator

Purpose: to assist the Director of Development and Marketing with events, alumni donations and all aspects of fundraising for the school. This position emphasizes the promotion of the school, private strategic gathering and disseminating information to raise the awareness and image of the school within its own alumni constituency and in the broader community to increase financial support.

Supervisor Title: Director of Development and Marketing

  • Identify and implement event timelines, budgets, and logistics for all fundraising events.

  • Collaborate with the department to assist with timelines and logistics for all fundraising events.

  • Responsible for soliciting sponsorships, ticket sales, auction items, etc. to ensure meeting financial goal(s) for fundraising events.

  • Recruit volunteer committee members and event chairs and provide them with an engaging volunteer experience.

  • Cultivate and solicit alumni gifts for annual campaigns and events, engaging Director of Development and Marketing, Principal,  and others as required.

  • Help create a culture of philanthropy among all generations of alumni.

  • Assist in identifying alumni prospects for the campaign.

  • Manage a portfolio of alumni donors to include individuals, foundations, and corporations to meet annual Development Plan goals.

  • Complete at least 8 alumni donor/prospect scheduled visits per month (on campus or in the community) with deliberate development and the next step that leads to a gift ask.

  • Develop and execute engaging alumni relations events (meet and greets) annually.

  • Implement ongoing personal/written/phone contact with donors/potential donors.

  • Process, record and acknowledge gifts in a timely manner.

  • Create contact reports for each donor visit and record them in our database system.

  • Develop communications plans to inform, engage, and cultivate alumni and parents.

  • Serve as the lead (in the #1 position) to maintain, market, and sell promotional gear for the school store periodically throughout the year and at major school events.

  • Process orders for promotional gear as needed for the athletic teams, clubs, and school store.

  • Serve as backup (in the #2 position) as needed to post messages on social media outlets in a timely manner and as directed by the Administration.

  • Serve as backup (in #2 position) to maintain and update the school website with current information to include the weekly newsletters.

  • Attend weekly development planning meetings and other required meetings as scheduled.

  • Maintain a strict level of confidentiality on all matters relating to school business and work within established school operating procedures.

In addition to the specific responsibilities listed, a person in this position handles other tasks as they emerge and performs other duties as assigned; assumes such other relevant position-related duties and responsibilities as may be assigned by the Director of
Development and Marketing or Principal; and serves as a member of other
committees/councils as may be specified by the Director of Development and Marketing or

Professional Qualifications:

  • Bachelor’s Degree in a related field or have significant experience in event fundraising and alumni relations.

  • Minimum three years of development experience, including annual campaigns.

  • Experience in fundraising in an educational environment is preferred.

  • Strong organizational, administration, interpersonal communication skills, detail and “big picture” oriented.

  • Skills in preparing written reports and proposals.

  • Solid writing, editing, and presentation ability.

  • Professional demeanor, flexible, and able to respond to multiple demands.

  • Must possess reliable transportation and be approved by insurance carriers to drive a personal vehicle.

  • Must be flexible regarding work schedule and location.

  • Proficiency with Microsoft Suite and DonorPerfect preferred.

Performance Appraisal: The Director of Development and Marketing will conduct a performance appraisal annually in the spring of each academic year.

Working Conditions: The position is full-time, minimum of 40 hours per week, a twelve-month position beginning July 1 of each academic year and ending on June 30 of that academic year. Some travel and work outside of regular business hours and on weekends will be required, as necessary.

Physical Demands: Light physical effort required. Regularly required to sit for extended periods, stand, walk, reach, bend, lift up to 30 pounds, and perform computer keyboarding.

FLSA Status: Position is non-exempt from overtime and timekeeping provisions of the Fair Labor Standards Act.
